If a third party (individual or company) owns one or more units at your location, create an owner profile to store their details, record the contract, and link them to their units.
You need the owner profile before you can settle amounts owed and display the settlement in the owner portal.

Create an owner profile

  1. Navigate to Owner Manager, select the Owners menu item and click on Create owner
  2. Select the owner type: Private owner or Company. The type determines which details you must enter next.
  3. Enter the required details:
    1. Private owner: Last name and owner type are mandatory.
    2. Company: Company name and company owner type are mandatory.
  4. Select the fiscal type: Private owner, Domestic company, or Foreign company.
  5. Save to create the owner profile.
  6. Enter the details below on the owner overview page:
    1. Select the Units and contracts card, in the Units tab and click on Link unit.
      1. Add the ownership period.
      2. Select the location, accommodation type, and unit(s).
      3. Click on Link unit.
  7. Select the Contracts tab and click on Add contract
    1. Enter the required details.
      1. Unit
      2. Contract Name
      3. Contract type
      4. Contract date range
      5. Click on Create

Tips

  • The owner type matches the contract you have with the owner. In most cases, choose the owner.
  • The ownership period often ends at 31/12/2099.
  • The contract name can be any value. This can be used to search for a specific contract.
  • The contract date range should fall within the ownership period.
 

Edit an owner profile

  1. Navigate to Owner Manager, select the Owners menu item and select an owner.
  2. Click on the kebab menu at the top of the screen.
  3. Select Edit owner.
  4. Update the owner's (contact) details.
  5. Select Update to save.

Delete an owner profile

  1. Open the Owner in the Owners tab
  2. Click on the kebab menu at the top of the screen.
  3. Choose Archive or Delete.

Note

Owners can only be archived when there is no unit and/or contract linked.
